Terms & Conditions of Hire
Effective Date: 01/08/2026
1. Definitions
“Company” refers to Visual Tech Productions, trading under Bassboat.
“Client” refers to the individual or organisation hiring equipment or services from the Company.
“Equipment” includes LED screens, processors, media servers, rigging, cables, power distribution, audio equipment and any associated accessories supplied by the Company.
2. Acceptance of Terms
By accepting a quotation, signing a booking confirmation, or paying a deposit, the Client confirms that they have read, understood and agree to these Terms & Conditions.
3. Booking & Deposits
* A booking is only confirmed once the agreed deposit has been received.
* Deposits are non-refundable unless the Company cancels the booking.
* The remaining balance must be paid no later than 7 days before the event, unless otherwise agreed in writing.
* Bookings made within 7 days of the event require full payment upfront.
4. Cancellation Policy
Cancellation by the Client:
* More than 30 days before the event: Deposit retained.
* 14–30 days before the event: 50% of the total booking fee payable.
* Less than 14 days before the event: 100% of the booking fee payable.
Cancellation by the Company:
If the Company cannot fulfil the booking due to unforeseen circumstances, a full refund of any payments received will be provided. The Company’s liability is limited to the amount paid by the Client.
5. Payment
* All invoices must be paid by the due date.
* Late payments may incur statutory interest and debt recovery costs where applicable.
* Equipment will not be released until cleared funds have been received unless agreed otherwise.
6. Client Responsibilities
The Client agrees to:
* Provide safe and unrestricted access to the venue.
* Ensure suitable power supplies are available.
* Obtain any permissions, licences or permits required.
* Keep members of the public away from equipment where necessary.
* Inform the Company of any venue restrictions before the event.
7. Damage & Loss
The Client accepts responsibility for any loss, theft or damage to equipment while it is under their control, excluding fair wear and tear.
Repair or replacement costs will be charged at the current market value where damage is caused by negligence, misuse or unauthorised interference.
8. Installation & Operation
Only authorised personnel from Visual Tech Productions may install, dismantle or operate the equipment unless written permission has been provided.
Unauthorised alterations may result in immediate termination of the hire without refund.
9. Weather
Outdoor events remain the Client’s responsibility.
The Company reserves the right to suspend operation or dismantle equipment where weather conditions make continued operation unsafe, including high winds, heavy rain or electrical storms.
No refund will be due where this action is taken for health and safety reasons.
10. Force Majeure
The Company shall not be liable for delays or failure to perform caused by events outside its reasonable control, including severe weather, power failures, strikes, government restrictions, transport disruption or acts of God.
11. Liability
The Company holds appropriate public liability insurance.
The Company’s total liability shall not exceed the total value of the booking.
The Company shall not be liable for indirect or consequential losses, including loss of profits, business interruption or reputational damage.
12. Health & Safety
The Client agrees to comply with all relevant health and safety legislation.
The Company reserves the right to stop work where unsafe conditions exist until those conditions are resolved.
13. Photography & Marketing
Unless agreed otherwise in writing, the Company may photograph or record the event for promotional and marketing purposes.
14. Confidentiality
Both parties agree to keep confidential any commercially sensitive information exchanged during the booking.
15. Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Acceptance
By paying a deposit, accepting a quotation or confirming a booking, the Client acknowledges that they have read and accepted these Terms & Conditions.
